Personal information we store

We comply with the Data Protection Act 2018 and, for the purpose of this notice, “we” refers to Limited.

We collect the following information for every customer:

  • Name
  • Delivery address
  • Billing address
  • Email address
  • Phone number
  • Payment details

These details are securely stored in our electronic database for the purposes of tax and order fulfilment, with the exception of payment details, mentioned below.

Occasionally we will also keep a physical copy of a customer invoice on file, detailing the above information, which will be stored securely at our office premises for a limited time while reference is required, before being responsibly destroyed.

Our newsletter subscriber email addresses and names, where provided, are also securely stored in our electronic database. You may choose to subscribe to our newsletter by opting in at checkout or by entering your email address at the bottom of our website. An automatic email will be sent asking you to confirm your subscription for additional security.

What we do with your information

We use the information listed above to fulfil orders, to contact customers regarding their order if necessary, and to declare our taxable income to HMRC.

Email addresses are also used to update customers on the status of their order when a tracked delivery service has been paid for.

Newsletter subscribers will be sent occasional emails in relation to Hama Beads and Hama products. We will only ever contact those who have given us permission to do so. However, anyone who changes their mind about receiving our newsletter may unsubscribe at the bottom of any email that we send.

Who we share your information with

We always endeavour to keep your information safe and will only pass contact details on to the trusted third parties listed below, as required, to carry out best service. We will not disclose your information to any other third party unless we are under a legal obligation to do so.

Royal Mail and other delivery services: Your name, delivery address and contact details are passed on to our trusted delivery service providers. For the majority of orders, this will be Royal Mail and, for customers outside the UK, the national postal service for your country. The same details for larger orders will be passed on to World Options who, at checkout, will generate the best reputable courier delivery service options for you to choose from and, once you’ve made your choice, will pass on your details to them. Retail Merchant Services: At checkout, your payment details will be externally processed and stored by our online payment processor, Retail Merchant Services. This means that we do not store your payment details internally, and only have limited access to them in order to process refunds, when necessary. Mailchimp: The email addresses and names, where provided, of newsletter subscribers are stored and processed by Mailchimp, an email generator platform.

Xero and other accounting services: Your personal information is shared with official accounting software used to generate and store customer invoices, as well as accounting service providers that we use in order to fulfil our legal tax requirements.

Your personal data rights

You have the right to access, amend and remove the personal details we hold for you at any time by contacting us.

If you do not want your personal data to be collected or used in the ways stated above, please do not proceed to place an order on our website.

All electronic and physical records are permanently deleted and responsibly destroyed after seven years, unless the individual requests we do so earlier.

Email addresses and names, where provided, of all newsletter subscribers are held electronically until further notice, unless the individual requests we remove them.


We collect information directly from our website visitors anonymously through our use of electronic cookies.
